Meet Policies

 

STINGRAY SWIM CLUB POLICY
Three types of Meets:   ‘Burner’, ‘Sprint’ and ‘Full’ four day or session meet.
 
BURNER MEETS  are to be an encouragement, familiarization, developmental tool.
Not officiated, No official uniform (whites) to be worn. 
Personnel Needed: Meet Director, Starter,  Referee
2-3 in the Control Room (Timing Shed),
3 Marshalls, one being the ‘Clerk of Course’
No Stroke + Turn judges
Chief Timer + 6 Timers, (one per lane)
Publicity person + Sponsor Liaison at the discretion of the Meet Director.
Awards: No high point awards given, but some alternative awards perhaps, at the discretion of the meet director.
State on entry form: “these are unofficial times that will not be posted on the web-site.’
 
SPRINT MEETS:  are to encourage + familiarize swimmers w a more structured meet
Personnel Needed:   Meet Director,   Starter,    Referee,    
3 in Control Room (Timing Shed), including Supervisor, Chief Recorder + a runner  
Clerk of Course (assembles swimmers, esp at 25m end of pool)
Chief Timer +  12 Timers
A recommended max of 4 stroke + turn judges
Chief Recorder gets the Ref to sign off on the results as session ends.
Awards co-ordinator + assistant
 
FULL 4 Day or Session Meets  are to offer our developing swimmers the chance to test themselves in all the standard events.  
Personnel per session:
Meet Director (+ assistant possibly),   Starter,  Referee,
3 in Control Room, incldg Supervisor, Chief Recorder
Clerk of Course
Chief Timer, 12 Timers
A recommended max of 4 stroke + turn judges
Awards co-ordinator
 
Any amendments to this document for any meet must be approved by the SSC board.
 
 
With a goal of running smoother, more pleasant and efficient meets we offer the following recommendations:
 
Recommendation: that the club move to a policy of announcing DQ’s during the meets by event # and lane #.
 
Recommendation: that the club move to a policy of posting meet results during the meets, at the end of each stroke competition.   It will be helpful, as if there are any inconsistencies that the ‘Timing Shed’ team did not catch, they will soon be pointed out, and can be amended before the end of the meet. 
 
Recommendation: the Chief Recorder gets the session referee to sign off on the results at the end of each session.
 
Recommendation: combining of events be kept to a minimum during meets, except for longer (200m + over events) events.
 
Recommendation: all officials be reminded and encouraged to use their best manners during meets, with each other and the swimmers. 
 
Recommendation: the entire board get better acquainted with meet software.
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
 
Goal : To lessen the air of ‘over officiating’ that has been prevalent on the pool deck. Unfortunately a case of ‘perception is reality’.
 
MEET DIRECTORS DUTIES
Prior to the meet: 
After consultation with the coaches, establish and ‘publish’ (post + distribute) and order of events of the meet, the rules and entry form with deadlines
Establish contact with the meet sponsor, Invite to start a session or give awards
Initiate (or delegate) publicty with the local media. Establish a presence on the pool deck, for distribution of entry forms, build enthusiasm for the meet. Order appropriate awards.
Get the meet set up on the computer. 
Check supplies, Appoint a Referee, Starter, Control Room personnel, 
Check with the Referee for a slate of officials
Check equipment
Appoint a Concessions Manager, 
Enter paper entries
Print heat sheets, covers, prepare clipboards, check-in sheets,

Post complete results physically and on web,   Distribute medals, 
Thank sponsors, Co-ordinate post meet publicity.
